A Guide for Clarke University
All Clarke owned machines should come with the latest version of Microsoft OneDrive. OneDrive is a cloud storage program that allows you to access your files from any machine with OneDrive installed. If you believe you do not have OneDrive, follow these instructions:
OneDrive is very useful if you are frequently switching between multiple computers. To get started, open the OneDrive desktop application from the start menu by searching “OneDrive.” You will then be prompted to set up your OneDrive by inputting your @clarke.edu email address. Be sure to use the format of firstname.lastname@example.org. After this, you will be taken to a login screen to input your password, the same one you use for all Clarke websites.
The next screen is very important. It will allow you to change the location of your OneDrive folder. To do this, click “Change location” above the large blue “Next” button. Then, choose the location you would like to house your OneDrive folder. For example, if you would like the folder to be on your desktop, click “Desktop” and then “Select Folder.” Be aware that you can place this folder anywhere on your computer. After you have chosen a location, click “Next.”
Choosing your folder
After you have chosen a location for your OneDrive Folder, the application will ask you if you would like to Sync files from your OneDrive. If you have not used OneDrive before, you can simply click “Next.” If you have, choose the folders that you would like to sync.
Now your OneDrive should be set up. The application will open up a “Getting Started” page that is simple and very useful. If it is not opened automatically, use this link:
Your OneDrive folder works just as any other folder on your computer, but it can be accessed from anywhere with an internet connection. To add a file to the folder, simply drag and drop like any other folder. If you are connected to the internet, the file will sync to all of your OneDrive folders on all of your machines, including mobile phones or tablets, where you can download a OneDrive app:
You are also able to share any files in your OneDrive folder. To do this, right click on any file in your OneDrive folder, and click “Share with” and then “Specific people.” Then type in the email address of the person you would like to share your file with. You can choose to either let the user simply read (or in other words, view) the file, or to allow them to make changes. To do this, click the black arrow under “Permission Level.”
OneDrive also has an online web application so you can easily access your files from someone else’s computer. To use this service, go to the following link:
Then click “Sign in” in the top and sign in with your Clarke email address and password. You should then be directed to your OneDrive Folder, but it will be shown in your browser. Here you can delete, upload, or create new files that will be synced to all of your OneDrive Folders across all devices.
For more in-depth sharing, you can right click on your file and select “More OneDrive sharing options.” This will take you to the OneDrive web application (you may need to sign in again) and ask you to type in the email address of the user you would like to share your file with. You can also add a message and send an email invitation. From this screen, you can also click “Get a link” and select from the options which is best for your situation. This link can allow users to view or edit without having to invite them one by one. Please note that if you do not choose a Restricted link, anyone that has access to the link has access to your document.
